Within IOM Headquarters, the User Support Unit in the Information and Communications Technology (ICT) Department is dedicated to providing high-quality information technology capabilities and communications support for users. This unit ensures that ICT systems and services meet the needs of staff members, enabling efficient and effective operations across the organization.

Supervision:
The Intern – ICT Users Support will work under the overall supervision of the ICT Officer, Head of Global User Support (GUS) in HQ, and the direct supervision of the Technical and User Support Supervisor. This role will involve close collaboration with other colleagues in the ICT Department at IOM HQ to deliver seamless support services to end users.

Core Functions / Responsibilities:

  1. End User Support: The intern will provide first-line support to end users in Geneva, offering both direct assistance and remote support as needed. They will troubleshoot technical issues and ensure that all ICT-related tickets and queries are logged and resolved promptly and efficiently. This includes addressing hardware, software, and connectivity issues to minimize disruptions to users’ work.
  2. ICT Asset Management: The intern will support in ICT Asset Management, assisting in updating the ICT asset management system as required. They will be responsible for organizing and sorting ICT assets and coordinating the disposal of obsolete equipment in compliance with organizational policies and guidelines.
  3. Hardware and Equipment Installation: The intern will assist in the installation and relocation of hardware and equipment in Geneva. This includes installing and upgrading software on users’ computers, printers, scanners, and other hardware/software in alignment with IOM ICT standards and protocols.
  4. Reporting and Documentation: The intern will prepare periodic reports on work delivered, achievements, and any challenges or obstacles encountered during their internship. This documentation will provide valuable insights for supervisors and contribute to ongoing improvement efforts within the ICT department.
  5. Other Tasks: The intern will undertake any other tasks assigned by supervisors, contributing to the overall objectives of the ICT department and supporting organizational goals.

  • ICT Asset Management: The intern will gain insights into best practices in managing ICT assets and inventory.
  • User Support SOP: Exposure to standard operating procedures for providing user support, including onboarding and training processes.
  • Knowledge Sharing: Opportunities to learn and share knowledge within the ICT department, fostering professional development.
  • Practical Experience: Hands-on experience in a professional environment, gaining familiarity with everyday office operations and ICT support workflows.
  • Professional Relationships: Building and developing professional relationships with colleagues, enhancing collaboration and teamwork skills.
  • Ticketing System Usage: Training on using IOM’s standard ticketing system for ICT support and services, ensuring efficient workflow management.
  • Internship Certification: Upon satisfactory completion of the internship, the intern will receive an internship certificate and a letter of recommendation.

Required Qualifications and Experience:

  • Education: The intern should have a university degree or nearing completion of an undergraduate study program in Computer Science, Engineering, or a related field from an accredited institution. Enrollment in a master’s degree program in a relevant field is desirable.
  • Experience: Experience in overseeing and managing Microsoft Windows and Serverless networks, desktop support, and ICT functions in international organizations is advantageous. Knowledge of cybersecurity compliance, database information systems, and Microsoft 365 cloud-based applications is desirable.
  • Skills: Basic knowledge of Windows, Microsoft 365, and other ICT software is advantageous. Strong time management, troubleshooting, and problem-solving abilities are essential. The intern should be a team player with the ability to escalate issues when required.
  • Languages: Fluency in English is required (oral and written). Working knowledge of another official UN language (Arabic, Chinese, French, Russian, or Spanish) is an advantage.
